Enter a Position title and click Generate interview structure — AI proposes a handful of topics ("bullets") with sample questions for that role. If you upload a job description first (see below), Position is auto-filled from it, and the generated topics/questions are then based entirely on that document's actual requirements rather than a generic template for the title. Every topic can be edited by hand afterwards: you can rename it, rewrite its questions, add new topics manually ("+ Add topic manually"), or delete/remove any generated topic or question you don't want. Nothing is locked — the generated structure is just a starting point.
You can upload one job description file and up to 15 candidate CVs per batch on the free trial (once you're on a paid plan, this rises to 50 candidate CVs) — accepted formats are PDF, DOCX (Word), and TXT. These files are never stored anywhere: they're read straight from your browser's memory and sent to the AI, then discarded — reloading or closing the page clears them. The moment a job description is loaded, Position is auto-filled from it (edit it afterwards if needed). As soon as both a job description and at least one CV are loaded, the system automatically scores every CV against the job description one by one and shows a green badge (70% match or higher) or a red badge (below 70%) next to each file.
There are two ways a candidate gets an interview link:
• Automatic: if you're on a paid plan (or the free interview) and you've uploaded CVs, pressing
Generate VirtualHR automatically emails an invitation with the interview link to every
candidate whose CV scored 70%+ and had a readable email address on it — no extra step needed.
• Manual: if you didn't upload any CVs (or want to send it yourself), pressing
Generate VirtualHR instead shows you the interview link directly, which you can copy and send
to anyone yourself, by any channel you like.
Below the topics, two checkboxes control whether candidates hear back automatically once their interview is
scored:
• Send to all PASSed — every candidate who scores PASS is emailed a link to book time
directly on your calendar with a real person (manager, owner, or CEO), so they can move straight to the next
round without you doing anything manually. Checking this box makes the calendar link field
right below it mandatory — paste your Calendly/Google Calendar/etc. booking link there before you can
generate the interview.
• Send to all FAILed — every candidate who scores FAIL is automatically sent a short, polite
rejection email ("...we've decided to continue with other candidates...").
Both checkboxes are per-position and off by default. Leaving them unchecked means candidates get no automatic
result email at all — you decide manually who to contact, same as before this feature existed. Auto-fail
cases (tab-switch — see 4b below) never trigger either email, since that's a disqualification rather than a
real scored result.
Once a candidate completes the on-camera interview, you automatically receive an email with: the full question-by-question transcript, an AI-generated evaluation broken down by competency with a percentage score for each one, an overall fit score for the position, and a link to the recorded video (kept for 7 days). The candidate themselves never sees their own score or the video — the only thing they may receive is the PASS/FAIL auto-email described in 3b above, if you turned it on.
Two things are in place to reduce candidates looking up answers online mid-interview:
• Tab-switch auto-fail: the candidate is warned up front that leaving the browser tab ends the
interview immediately. If it happens, you still get the result email as usual, but the subject line and the
email body are flagged AUTO FAIL — SWITCH OF TAB, with the transcript
only covering what was answered up to that point.
• Question text can't be copied: selecting, right-click-copying, or Ctrl/Cmd+C-ing the
on-screen question text is blocked, to raise the friction of pasting it into an external AI or search engine.
The video file helps to analyse if the candidate read/looking something else around him.

1 FREE interview — every account gets one free run of the full product, once: upload a job
description, score up to 15 CVs, and shortlisted candidates are emailed the interview link automatically,
exactly like a paid plan. A confirmation popup appears before the free credit is used, since it can only be
used once per account — after that, generating another interview link requires an active plan. Once you're on
a paid plan, the CV limit per batch increases from 15 to 50.
HINT: For the test use a few fake CVs with your personal E-mail in. Just to check it how it looks the
result for FAILED and PASSED candidates.
Monthly unlimited plan (€45) and Yearly unlimited plan (€400) — these are
one-time payments, not recurring subscriptions: no card details are ever stored, and nothing
is charged automatically. "Unlimited" means no cap on how many interview links you can generate or candidates
you invite while the plan is active. Once the 30-day or 1-year period runs out, access simply expires — you'd
need to come back and pay again to continue, there's no auto-renewal to cancel.
Payment is by PayPal or debit/credit card (Stripe), in EUR. Bulgarian companies are charged with 20% VAT
included in the price shown; all other countries pay the plan price with no VAT added. An invoice is emailed
automatically after every successful payment and is also available under Paid invoices.
A refund for the Monthly or Yearly unlimited plan can be requested within 48 hours of payment, and only if the Generate VirtualHR feature has not been used at all since that payment (i.e. no interview link has been generated on the plan). Once a VirtualHR link has been generated, the plan is considered used and is no longer eligible for a refund, regardless of how much time is left. While eligible, a Refund link appears next to Settings — it processes the refund automatically to your original payment method and ends the plan immediately. A credit note (storno invoice) reversing the original invoice in full is generated and emailed automatically at the same time, to you and to VirtualHR's billing address.
